In 2020, Klocke Pharma-Service implemented Docusnap to centralize IT documentation and inventory under a combined Hardware Asset Management (HAM),Software Asset Management (SAM),IT Asset Management (ITAM),SaaS Spend Management scope. The deployment focused on a centrally managed inventory and documentation repository, enabling scheduled scans and automated data collection to maintain a current status of the IT estate.
The implementation configured Docusnap modules for automated discovery, software and hardware inventory, and the physical infrastructure module for visualizing server rooms and data centers. Custom scripts were applied to extend discovery coverage and to capture detailed object-level information, including network port level connectivity and device-to-port relationships; these capabilities were configured to run as weekly scans and automated tasks.
Operational integrations and coverage included consolidation of previously dispersed Excel and Word inventories into Docusnap, and automated report generation to satisfy recurring internal and external audit requests. The IT environment documented during the rollout encompassed approximately 180 PC workstations and about 100 mostly virtual servers managed by the Klocke Pharma-Service IT team, with inventory and topology visibility provided from a central console.
Project governance included partnering with Bechtle experts to provide customization and implementation guidance, establishing one-time configuration and automation procedures, and converting existing manual lists for audit readiness. The rollout emphasized automation of routine tasks, centralization of documentation, and standardized inventory procedures to reduce manual maintenance overhead.
As reported by the IT head, outcomes included consistently up-to-date IT documentation via Docusnap, faster access to network and asset information, elimination of fragmented Excel lists, and streamlined preparation of audit inventory lists.
