The implementation addressed a manual invoice capture workload that required one corporate accounting employee to spend three to four days a week entering invoice data and had department managers duplicating effort to compile weekly reports. Kowalski’s Markets deployed DocuWare Invoice Processing as an AP Automation solution that centralized invoice capture, automated indexing, workflow routing, and electronic retention. Invoices are scanned at each store and automatically indexed using DocuWare’s Intelligent Indexing feature, the system then electronically routes documents to department heads for index verification and cost review, applies an electronic stamp, and forwards invoices to corporate accounting for final review and storage. The deployment included a tight integration between DocuWare and Kowalski’s accounting system, Sage, providing accounting staff with direct access to stored documents from within their accounting application. The implementation scope covered accounts payable workflows across 12 retail sites and the corporate accounting office, and it was introduced to Kowalski’s by a trusted IT vendor and an authorized DocuWare partner who led the pilot and the phased store rollouts. Workflow governance was restructured to place initial verification responsibility with department heads, who correct any missing or incorrect index terms before invoices proceed to corporate accounting for final approval. The process removed duplicated manual data entry, established an electronic stamping and approval trail, and created shared ownership of invoice review across stores and the corporate office. Configuration emphasized automated indexing and role based routing to enforce consistent AP controls and auditability. As implemented, DocuWare Invoice Processing helped Kowalski’s Markets eliminate more than 40 hours per week in manual data entry, improved cost analysis and vendor relations, and reduced the burden of manual entry on employees so staff could focus on core responsibilities. This deployment demonstrates a practical application of AP Automation to streamline retail accounts payable operations and centralize document access across store and headquarters functions.
