In 2016, LegalShield implemented Workday Financial Management as a core component of a cloud-first ERP Financial deployment, replacing Oracle JD Edwards EnterpriseOne to modernize payroll and reporting. The move addressed new payroll reporting standards and the need to support LegalShield’s multilevel sales and unique commission structures across the United States and Canada.
The deployment of Workday Financial Management was delivered in concert with Workday HCM, Workday Payroll for the US, Planning, Recruiting, Time Tracking, Expenses, Procurement, and Workday Adaptive Planning, with HCM live in November 2016 and Financials in January 2018. Configuration focused on general ledger, accounts payable, purchasing, and a consolidated chart of accounts, while Adaptive Planning was integrated to enable continuous budgeting, scenario planning, and version control.
Architecturally the program used a cloud-based Workday environment with one database, one security model, and unified reporting to simplify access and governance, and integrated single sign-on via Okta to enable secure mobile access. Operational coverage included corporate finance and accounting, payroll and benefits administration, and shared services across LegalShield’s US and Canadian operations, while also supporting provider law firm access and rapid setup for acquired entities.
Governance and rollout emphasized module ownership and peer training, with one accounting subject matter expert per module developing and cascading knowledge to the broader team. Financial close and approval workflows were instrumented in Workday to replace manual, spreadsheet-based processes, and the program phased payroll conversion by March 2017 while stabilizing financial reporting throughout 2018 prior to Adaptive Planning adoption in 2019.
LegalShield documented explicit outcomes tied to the Workday Financial Management implementation, including cutting financial close time in half, materially improving reporting accuracy, enabling the company to move 550 employees to work from home within three weeks while the accounting team shifted to remote operation in less than a day, and supporting additional revenue growth with only two incremental accounting hires. Workday Financial Management, within the unified ERP Financial estate, reduced manual reconciliations, improved accountability through integrated budgeting and reporting, and accelerated onboarding of payroll and financial processes for acquisitions.
