In 2015 Lineas implemented Rydoo Expense (ex Xpenditure) as its Expense Management solution to modernize employee expense workflows across its European transport network. The deployment targeted a distributed workforce from train drivers to financial controllers and aimed to support multi-country travel patterns intrinsic to Lineas’ Green Express Network.
Rydoo Expense (ex Xpenditure) was configured to prioritize mobile-first capture and automated receipt scanning, enabling on-the-go submission, line level approval, and realtime reimbursement of individual expenses rather than batch expense reports. Functional capabilities implemented include mobile receipt OCR and upload, per-expense approvals and routing, duplicate expense detection, expense parameter limits and multi-currency and compliancy rule support consistent with cross-border financial requirements.
Operational integration focused on sending submitted expenses directly into Lineas’ finance systems and routing approvals to the appropriate approvers, removing the need for paper forms and centralized physical signoff. The rollout covered Lineas’ European operations including Belgium, France, Germany and Prague, and extended to users operating throughout the company’s wider European network, aligning expense processing with travel and field operations.
Governance changes included centralized configuration of expense parameters and compliancy rules within Rydoo, automated enforcement of duplicate checks, and role based visibility for company, department, manager and user levels. The shift from consolidated expense reports to realtime, per-expense processing restructured approval workflows and reduced manual reconciliation tasks in finance.
Lineas reported explicit operational benefits from the implementation including faster reimbursements, reduced manual effort in finance, increased transparency into spend at multiple organizational levels and a lower margin for human error. The implementation freed finance capacity to concentrate on higher value work and supported the company’s objective to operate better and faster across its European footprint.
