Core functional activity included AP voucher processing, purchase order voucher resolution, credit memo handling, expense report processing, and preparation of benefits payments using pivot tables and VLOOKUP match logic for reconciliation. Controls emphasized invoice validation and GL accuracy through spreadsheet reconciliation and audit steps integrated into daily operations. The implementation incorporated a daily bill import from a Fintech feed into Sage 100 to accelerate invoice intake and reduce manual data entry. Reconciliation workflows spanned QuickBooks and Carillon, a SQL system, with Sage maintained as the system of record for payables and statement reconciliation. Vendor communication and statement reconciliation processes were formalized to resolve inquiries and prevent payment delays. Governance measures included regular internal audits to verify procedural adherence, targeted audits of vendor information when updates were reported, and documented workflows for researching and resolving denied invoices and payment holds. Check runs were audited by matching checks to invoices prior to payment, and exception resolution processes were used to clear holds and correct discrepancies. Documented operational outcomes in the engagement included managing vendor relationships without causing delays in payments and resolving denied invoices which alleviated invoice and payment holds. The combined use of Sage 100, the Fintech daily import, and reconciliations with QuickBooks and Carillon supported consistent AP processing and vendor statement reconciliation across Liquor Barn operations.
