In 2019, Lowell Financial implemented Caseflow as a Case Management application to centralize customer-facing and privacy workflows. The deployment focused on operational use in the Customer Service function and adjacent teams in Leeds, with Caseflow used daily by Customer Service Advisors, the Privacy Team, and the Customer Welcome Team to handle case intake, correspondence, and recordkeeping.
Caseflow was configured to support standard case management capabilities including case capture and notes, correspondence generation, audit trail and evidence handling, and queue workflows for first contact resolution. The application was used to compile Data Subject Access Request packs, perform content removal and redaction, and generate bespoke response letters such as erasures and cease requests, while advisors recorded and examined customer account information in Caseflow and Microsoft Excel for cross-referencing and scorecard updates.
Operational governance was adjusted to embed first line control checks and SLA-driven administrative tasks, with the Privacy Team performing through checks of DSAR packs and the Customer Welcome Team auditing internally raised queries for inaccuracies and process misuse. Caseflow became the central Case Management system for assembling evidence, supporting compliance activities, routing audit findings to stakeholders, and maintaining commentary and grading in scorecard spreadsheets for team review.
