Configuration centered on Oracle NetSuite ERP core financial modules, including general ledger, accounts payable, accounts receivable, intercompany accounting and cost accounting, with automation for monthly close reconciliations and workflows to monitor intercompany transactions and EBITDA to cash alignment. The setup included chart of accounts harmonization and cost accounting structures to support multi-entity consolidated reporting.
Operational ownership remained with the accounting department, where the Accounting Manager acted as project manager for the NetSuite implementation, overseeing recruitment, training and team management tied to the new system. The implementation scope extended to statutory and tax compliance activities for the group's subsidiaries, supported the creation of legal entities in Japan and England, and drove the development of transfer pricing policy documentation.
Governance changes included formalized monthly close procedures, reconciliation controls and intercompany monitoring embedded within the ERP Financial configuration, positioning internal control artifacts to support investor due diligence. Implementation scope centered on centralized absence tracking and formalizing leave workflows across permanent headcount based in Lyon and distributed international sites.
Lucca Absences was configured to manage sick leave, statutory leave and company-specific entitlements in accordance with CC SYNTEC, with approval workflows and absence request automation aligned to Absence and Leave Management best practices. The implementation leveraged Lucca suite modules, including Timmi absences for time tracking, Poplee and Poplee Interviews for personnel records and interview workflows, Cleemy for expenses and Pagga for HR task management, ensuring a unified HRIS data model. Configuration included onboarding-triggered entry processes and offboarding workflows initiated via Lucca to ensure administrative events updated absence records.
Integrations were implemented with payroll and benefits systems explicitly referenced by People Operations, including SILAE for France payroll processing, links to country-specific payroll providers for the UK, Germany, Spain, Portugal and Japan, SWILE for meal vouchers and ALAN for mutual affiliation. Lucca Absences exchanged absence and variable pay inputs with payroll channels to support payroll input and output processing for approximately 250 employees managed under Payroll EMEA. Data synchronization across Lucca modules maintained a single source of HR truth for leave and absence records.
Governance was centralized under People Operations, which acted as the privileged HRIS interlocutor and managed entries, releases, contract documentation and regulatory compliance for absences. Rollout practices included monthly onboarding sessions and monitoring touchpoints for new employees at day seven and one month, aligning absence registration with onboarding and offboarding procedures.
