In 2019 Malwarebytes implemented Oracle NetSuite ERP as its ERP Financial platform to centralize tax, invoicing, and core financial accounting across U.S. and Canadian operations. The implementation targeted sales tax management for both B2B and B2C channels, covering activity in 46 U.S. states and 13 Canadian provinces and territories, and ingested over 3,000 active sales tax exemption certificates for validation and application to transactions.
Oracle NetSuite ERP was configured to support core ERP Financial capabilities including accounts receivable invoicing and credit memo controls, general ledger journal entries and month end reconciliations, and tax payable account reconciliation. Tax-specific configurations captured exemption certificate status and sales tax calculations at the transaction level, and month end processes included booking adjustment and write off journal entries tied to sales tax activity.
The NetSuite deployment integrated with Avalara tax software to offload tax calculation, upload transactional adjustments, and maintain Avalara tax codes aligned to product definitions. Integrations with Salesforce were used to reconcile invoicing and sales records, with operational workflows to resolve discrepancies between Avalara, NetSuite, and Salesforce records, and to ensure invoices and credit memos preserved correct tax treatment or documented valid exemptions.
Governance and operational workflows were formalized around certificate management and tax compliance, including verification of exemption certificates against government department of revenue databases, nexus and economic nexus assessments aligned to the Wayfair rule, and coordination of state and provincial tax registrations. The implementation extended to cross functional processes with sales, order management, billing, revenue, accounting, payroll administration for remote hires, and general counsel for annual reporting and compliance filings.
Operational responsibilities maintained within the Oracle NetSuite ERP environment included monthly sales tax reconciliations, GL reconsolidation for sales tax and prepaid accounts, preparation of ad hoc reports for tax and accounting leadership, response to state notices and audit requests, and uploading adjustments to Avalara for invoice and B2C sales corrections. These activities established NetSuite as the ERP Financial backbone for tax, billing, and core accounting workflows across Malwarebytes U.S. and Canada operations.
