In 2019, Meddyg Care implemented Planday by Xero for Workforce Planning. The United Kingdom healthcare provider with 125 employees deployed Planday by Xero to manage rota and scheduling and to support HR functions alongside separate accounting and clinical systems.
Planday by Xero was configured to handle rota creation, schedule publication, employee availability and HR-related rostering workflows consistent with Workforce Planning capabilities. Configuration focused on shift-level scheduling and approvals to align clinical staffing needs with HR records, and the implementation emphasized accurate time capture to feed downstream payroll processes.
The deployment integrated Planday with Xero for accounting and payroll export, while clinical workflows remained on an independent clinical system. The Planday and Xero integration was a decisive selection factor, and when source data is accurate the integration streamlines front-end scheduling work. The Planday and Xero integration has halved the time it takes to do the payroll, it used to take a whole week, now it is three days, and four if it is a challenging month.
Operational ownership rested with HR and payroll teams, who used Planday to centralize rostering and to standardize the handoff of time and wage data into Xero. Governance emphasized data accuracy between systems and routine validation of schedule to payroll mappings to sustain the reduced payroll processing time and smoother scheduling operations.
