In 2013, MIND Research Institute implemented Oracle NetSuite ERP as its ERP Financial system to support multi-subsidiary accounting and donor based revenue streams. The NetSuite team comprised two people, a NetSuite developer and an Administrator who served as the face and go to person for roughly 200 internal clients across finance, projects, payroll, and fundraising operations.
The implementation included configuration and customization of Advance Project, Payroll, and Incentive Compensation modules, each tailored to MINDs unique business requirements. Day to day administration responsibilities included customizing roles, creating custom fields, restricting user access, performing audits, authoring documentation, building custom dashboards, executing CSV imports, automating processes with workflows, and creating and modifying forms.
Operational coverage extended to an eCommerce solution that sells company products, accepts donations, and handles event registrations, tying transactional flows into the Oracle NetSuite ERP platform. The NetSuite Administrator worked closely with NetSuite support to expand available resources, and managed a steady intake of support work with an average of 10 new cases per day and frequent one on one training requests from users.
Governance centered on role based access control, audit processes, and formalized documentation to support multiple subsidiaries and donor focused accounting. Process automation through workflows and targeted training were used to enforce new workflows and support end user adoption, while the two person NetSuite team maintained both platform configuration and ongoing operational support.

| HubSpot | Legacy | Hubspot Live Chat | Chatbots and Conversational AI | AI-Powered Application | n/a | 2018 | 2018 |
In 2018, MIND Research Institute deployed Hubspot Live Chat on its public website to enable real-time visitor engagement and inquiry capture. The Hubspot Live Chat implementation is classified under Chatbots and Conversational AI and functions as a web-embedded conversational layer supporting the organization’s communications and marketing activities. The deployment uses a client-side chat widget embedded across priority site pages to present automated greetings, initiate live sessions, and capture contact details from prospective users. Scope is site-level web engagement rather than internal collaboration, aligning with typical web chat use cases for education and outreach-focused organizations.
Functional capabilities implemented include live chat sessions, automated greeting flows, conversational lead capture forms, and transcript capture for asynchronous follow-up, consistent with Chatbots and Conversational AI capabilities. Operational ownership appears centered with digital communications and marketing teams for message configuration, routing rules, and handling inbound chat responses. Governance responsibilities documented include chat script approval and transcript retention for follow-up, while the technical footprint remained lightweight as a browser-executed widget requiring minimal infrastructure change.
