Crystal PM was used to capture structured pre-screening and diagnostic inputs, including auto refraction readings, iCare tonometry results, retinal screening photography, corneal topography when indicated, spectacle readings from an auto lensometer, visual acuity, blood pressure, pupillary reaction, and peripheral vision testing. The implementation incorporated modules and functional workflows for entering medical and vision history, recording physician notes, documenting spectacle and contact lens prescriptions, and creating medical prescriptions and doctor recommendations within the Crystal PM record. Operational processes tied Crystal PM to revenue and dispensing activities, with billing invoice creation using ICD-10 codes to assist patient check out and support front desk workflows. The practice used Crystal PM records to drive contact lens ordering, including telephonic order entry and placing orders on distributor websites based on documented prescriptions, and to track packaging, patient notification, and dispensing of contact lenses. Governance and role-based workflow changes were centered on the Optometric Technician Scribe role, which was responsible for pre-screening, test capture, EMR entry, and supporting checkout and fulfillment processes. Crystal PM functioned as the system of record for clinical documentation, billing inputs, and order tracking, aligning clinical testing workflows with administrative and dispensing procedures in the practice.
