The implementation focused on ERP Financial capabilities in cash application and accounts receivable, with configuration of cash management and general ledger modules to support automated posting of lock box remittances. Payment posting rules and remittance matching workflows were instrumented within Oracle PeopleSoft ERP to route cash to AR accounts and reflect receipts in the general ledger.
Operationally the deployment supported the health system’s finance and revenue cycle functions, with daily ingestion of lock box remittance data into Oracle PeopleSoft ERP and automated application to open receivables. Reconciliation workflows were established between cash application records and the general ledger to maintain posting accuracy and auditability.
Governance changes emphasized centralized cash application ownership and standardized posting policies, with documented workflows for exception handling and unapplied cash. In 2013 Northwest Community Healthcare implemented EPIC EHR, an Electronic Health Record that centralized patient information into a single secure database to give caregivers access to records from any location. The rollout began as an 18 month program initiated in late 2013 and was scoped as an enterprise clinical transformation across acute and ambulatory settings.
The EPIC EHR implementation was configured to support more than 530 discrete clinical workflows, aligning inpatient and outpatient documentation, ambulatory charting, care coordination, and patient portal access. The configuration emphasized a universal health record model and the MyChart patient portal to increase patient access to personal health information and to streamline clinician access to records.
Operational coverage included the 496 bed acute care hospital in Arlington Heights, more than 20 physician offices, four Immediate Care Centers, and eight outpatient physical rehabilitation centers, serving a medical staff of over 1,000 physicians and a patient population that exceeds 350,000 outpatient visits annually. The deployment addressed clinical communication and record availability across these sites, enabling clinicians to retrieve patient data system wide.
Governance and rollout followed an organized 18 month project cadence with systemwide workflow mapping and clinical adoption efforts. Outcomes explicitly reported include more than 3,000 MyChart signups between May 1 and October 30 of 2015, a highly noted early adopter who was 99 years old, and practitioner-reported improvements in clinician communication, ready access to patient data across units, and reduced time spent chasing paper charts.
