Operational coverage was centered on Materials Management staff and the Sage end user support team, with the lead role providing ongoing support to frontline users. The role supported business functions including inventory control, procurement coordination, and warehouse transaction processing aligned with ERP Financial functional terminology.
Governance responsibilities included ownership of the Materials Management stream for cutover planning, validation readiness activities, and post go live support, and delivering hands on training to Materials Management staff as needed. Configuration work focused on core business processes and security constructs including Hire, Job Change, Termination, Create Positions, Requisitions, and Contract Contingent processes, alongside Compensation configuration and design of compensation plans. The implementation included creation of calculated fields for custom reporting, development of Advanced and Simple custom reports, dashboard configuration, and matrix reporting support using advanced Excel for pivot and cross tables to support planning and reporting workflows.
Data migration and integration activity included migration from UKG Pro HCM, previously UltiPro HCM, into Workday HCM and use of Workday EIB tooling with FTP for mass data loads. Report migration leveraged Solution and Object Transporter, and the program included validation of loaded data, troubleshooting of integration issues, defect resolution, and ongoing issue tracking throughout cutover and stabilization.
Governance and operationalization work established tenant level security objects such as Organizations, subordinate organization definitions, Management Hierarchies, Position structures, Security groups, Functional area, Domain and Business Process Security Policies, and assignment of user based security groups for applicants. Business process testing and notification configuration were completed, and the project maintained regular client and team cadence through weekly or monthly sessions to support rollout, training, and operational handover, while also aligning planning, budgeting, forecasting and reporting strategies with Adaptive Planning for downstream financial and workforce planning integration.
The engagement included continuous client support across implementation phases and explicit validation steps to ensure a smooth transfer to Workday HCM and to adaptive planning activities, with documented issue tracking and defect remediation during the stabilization period.

Operational coverage explicitly included collaboration with multiple contract manufacturing organization manufacturing sites worldwide, enabling more timely data exchange and coordinated transfer of process knowledge across CMOs. The implementation supported business functions in manufacturing, quality, supply chain and data analytics, creating a single source of record for batch and process information and improving visibility for cross functional teams.
Governance changes centered on hardening data controls and standardizing process documentation, with rollout priorities on solutions that were easy to deploy, configure, and scale across external CMO partners. Novavax framed the selection around accelerating CMO data sharing and real time operational oversight, summarized by the Director of Data and Analytics who said, "We needed to move fast on our COVID-19 vaccine, replace Excel data management, and accelerate CMO data sharing, PIMS was the perfect product."
