In 2017 Origin Housing implemented Proactis AP Automation within its leasehold, rent and service charge administration team, with operational activities documented between August 2017 and December 2017. The Proactis AP Automation deployment was used to centralize purchase order creation and to manage invoice workflows within accounts payable.
Proactis AP Automation was used to raise all purchase orders, and staff routed invoices through the application for payment authorization and processing. Functional capabilities in use included PO creation, invoice dispatch for payment, coding and processing of received cheques, and management of utilities bills where account codes and apportionment were recorded in supporting spreadsheets.
The AP Automation deployment operated alongside a Service Desk system used to raise tenancy and rent related requests, and a Swordfish system used to scan and store incoming departmental correspondence. Operational scope covered leasehold enquiries, liaison with solicitors and the home ownership officer, utilities bill management, and core accounts payable activities, reflecting combined front-office intake and back-office payment workflows.
Governance centered on inbox and request triage, updating Service Desk records, routing scanned correspondence from Swordfish into AP processing, and enforcing coding and allocation rules for service charge and utilities apportionment. The implementation narrative describes Proactis AP Automation as the transactional PO to payment engine within Origin Housing's AP Automation environment supporting leasehold and rent related financial operations.
