| Tipalti | Legacy | Tipalti Invoice Management and Bill Processing System | AP Automation | ERP | n/a | 2021 | 2021 |
In 2021, OwnBackup implemented Tipalti Invoice Management and Bill Processing System as its AP Automation solution to support a centralized accounts payable program within the finance organization. The deployment concentrated on invoice intake, coding, bill processing and scheduled payment runs, with the Tipalti Invoice Management and Bill Processing System serving as the operational hub for AP Automation tasks across the company.
The implementation covered core functional modules including accounts payable invoice coding, invoice approval workflows, weekly payment runs, and dispute management via pending AP action lists. Expense report preparation, approval, coding and payment were part of the operational scope, with users performing coding work in Tipalti and managing company credit card transactions in Teampay as part of end to end payable processing.
Operational integration included active use of NetSuite for accounting records and AR activities, Teampay for card transaction coding, and online banking for final payment execution, enabling a handoff from Tipalti payment runs to banking rails. Internal collaboration and exception resolution were supported by Slack communications, and the AP processes interfaced with month end bank reconciliations performed by the finance team.
Governance and workflow adjustments emphasized invoice coding standards, weekly payment run schedules and dispute resolution workflows maintained inside Tipalti, with finance staff assigned to clear disputed bill and pending AP action lists. The rollout included regular operational tasks such as invoice coding into the AP Automation system, vendor communication for payment conflicts and special projects managed by the finance team.

| Greenhouse | Legacy | Greenhouse ATS | Applicant Tracking System | HCM | n/a | 2020 | 2020 |
In 2020 OwnBackup implemented Greenhouse ATS as its primary Applicant Tracking System. The deployment established Greenhouse ATS as the central candidate record and recruiting workflow platform for Talent Acquisition and sourcing activities across the company, with Talent Acquisition and hiring managers using the platform to manage requisitions and candidate progression.
The Greenhouse ATS implementation centered on candidate profile management, requisition workflows, interview orchestration, and recruiting analytics consistent with Applicant Tracking System functionality. Configuration work emphasized accuracy of candidate data and high volume sourcing support, enabling sourcers and recruiters to log sourcing activity, manage candidate stages, and surface conversion data for hiring teams.
Sourcing practices at OwnBackup included the use of LinkedIn, LinkedIn Recruiter, boolean search techniques, and HireEZ to identify candidates, while candidate information was maintained and tracked inside Greenhouse ATS. Explicit point to point integrations were not documented in the source material, however operational usage linked external sourcing channels and recruiter activity into the ATS as the single source of truth for candidate records.
Governance and process changes accompanied the rollout, notably the creation and implementation of a Talent Sourcing Process Guide used for training and developing current and future talent sourcers. Talent Acquisition Partners and hiring managers collaborated to codify sourcing strategies and workflows, and sourcers tracked and analyzed sourcing and conversion data to drive iterative adjustments to hiring processes.
Outcomes recorded in internal recruiting activity show the Talent Sourcing Specialist sourced 12 hired candidates over a seven month period while maintaining accuracy of candidate information in the Applicant Tracking System. Additional operational responsibilities included employer brand support and event participation, reinforcing Greenhouse ATS as the operational hub for recruiting and sourcing at OwnBackup.

| Epicor | Legacy | Epicor Prelude | Distribution ERP | ERP Services and Operations | n/a | 2013 | 2013 |
In 2013, OwnBackup implemented Epicor Prelude as its Distribution ERP to centralize finance, procurement and distribution operations. Epicor Prelude was configured to support core distribution workflows and served as the primary system for inventory control, order management and financial posting across the company.
The Epicor Prelude deployment included configuration of standard Distribution ERP modules, including inventory management, order-to-cash order processing, procure-to-pay purchasing, accounts payable and receivable, general ledger, and warehouse management capabilities with lot and serial tracking. Configuration emphasized transactional accuracy and inventory visibility, aligning master data and item costing rules with operational processes.
Operational coverage focused on finance, supply chain, procurement and warehouse teams, implementing end-to-end workflows such as order entry, picking and shipping orchestration, and invoicing. The implementation organized integrations around transactional touch points, using conventional interfaces for order exchange, shipment coordination and financial posting to ensure synchronized transactional data across order management and warehouse functions.
Governance was structured around configuration control, master data management and role based process ownership to maintain system integrity as distribution processes scaled. Epicor Prelude was positioned as the authoritative system for distribution transactions, with change control and training instituted for operations and finance to stabilize processes and enforce consistent transaction handling.
