The Access Group Legacy Access Rio EPR Patient Management ERP Services and Operations n/a 2025 2025
In 2025 Oxleas NHS Foundation Trust began a pilot deployment of Access Rio EPR with Smart Notes, the AI-powered dictation capability embedded in the Access Rio EPR Patient Management solution. The pilot runs alongside implementations at three other NHS trusts and leverages Access Rio EPR, England’s most widely used EPR serving a combined population of approximately 39.7 million. Smart Notes was configured to provide automated clinician note transcription and AI-generated summaries during consultations, and the module is registered as a Class 1 Medical Device with MHRA. The implementation includes mobile-first capture for community-based staff, enabling district nurses and other frontline teams to document patient interactions in real time and while offline, reducing reliance on handwritten notes and delayed manual entry. The dictation capability was developed in partnership with Microsoft and delivered as an embedded component of Access Rio EPR, operating against a secure ring-fenced AI model so patient data in Access Rio is not used for external training. Operational coverage for the pilot spans community and clinical workflows within the participating trusts, with point-of-care workflow instrumentation to produce clinician-facing transcripts and concise summaries. Governance for the rollout is staged as a pilot with a planned wider rollout across the trusts and an ensuing pilot of an Explanation of Benefits feature to surface how AI reached its recommendations. Outcomes reported for the Access Rio EPR Patient Management deployment include an estimated average saving of three minutes per case note and a projected collective saving of 1.2 million days of clinical time across the Rio user community, while the software also improves accessibility for staff who find manual documentation challenging.
