In 2019, PBT contracted Fusion5 to implement Fusion5 ApprovalPlus Accounts Payable, an AP Automation application for the company. The engagement was signed in October 2019 and the project went live in June 2020, with Fusion5 delivering the implementation alongside a NetSuite Financials deployment.
The implementation focused on procure-to-pay automation using Fusion5 ApprovalPlus Accounts Payable, with configuration of automated invoice matching, approval routing, and electronic invoice capture. Core functional modules implemented included invoice matching to purchase orders, multi-level approvals for payables, and exception handling workflows to reduce manual touch points in accounts payable processing.
Integration work connected Fusion5 ApprovalPlus Accounts Payable to NetSuite Financials, providing transactional flow of invoices, matched purchase orders, and supplier payment data into the ERP accounts payable ledger. Operational coverage centered on PBTs finance and accounts payable teams, processing approximately 2,000 to 3,000 invoices per month, and supporting month end close activities across the distribution business.
Governance changes included formalized approval workflows and role based routing within ApprovalPlus, and operational restructuring that reduced the size of the AP team as invoice processing was automated. Reported outcomes included automated invoice matching and approvals for the stated invoice volume, month end reporting completed within six days, and payables closed by the second day of the month following close.

In 2021, PBT implemented ReadyTech Zambion Payroll, executing a move to a Zambion cloud based solution on 1 April 2021. The implementation targeted end to end Payroll operations for the distribution business in New Zealand, aligning weekly payroll cadence with the company payroll schedule.
ReadyTech Zambion Payroll was configured for weekly processing and reconciliations, supporting payroll calculation, pay run orchestration, and employer services handoffs. The scope explicitly included ongoing analysis and correction of all systems, set up, and processes through 31 March 2021, prior to the Zambion go live on 1 April 2021.
The deployment integrated with MYOB EXO Employer Services and ADI Time to preserve time capture and employer services workflows, and was positioned to service approximately 500 weekly employees. Operational coverage centered on payroll and workforce management processes, consolidating payroll calculation and time data flows into the Zambion cloud based architecture.
Governance emphasized a full review and corrective stage before cutover, with process remediation and configuration adjustments completed to 31 March 2021, then operationalized under the cloud based ReadyTech Zambion Payroll environment on 1 April 2021. Roles, approvals, and payroll run validation sequences were formalized as part of the pre go live correction and configuration activity.

In 2019, PBT selected Fusion5 ApprovalPlus Procure-to-Pay and NetSuite Financials via Fusion5 to modernise finance and procure-to-pay processes. PBT implemented Fusion5 ApprovalPlus Procure-to-Pay as its Procure to Pay application to support finance and accounts-payable operations in New Zealand.
The implementation centralized electronic invoice capture and approval workflows and configured automated invoice routing, exception handling, and approval hierarchies typical of Procure to Pay systems. Fusion5 configured ApprovalPlus to enforce purchase order matching and to surface approvals to browser and mobile interfaces for AP clerks and approvers. The deployment tied ApprovalPlus workflow rules to NetSuite Financials for vendor ledger updates and posting.
Fusion5 served as the implementation partner and delivered the integration between ApprovalPlus and NetSuite Financials, creating a connected touchpoint between invoice approvals and the general ledger. The rollout targeted finance and accounts-payable teams across PBT in New Zealand, the solution was selected in October 2019 and taken into production in mid 2020. The production deployment enabled remote AP processing during COVID-19 lockdowns by moving approval and invoice processing workflows online.
Project governance focused on workflow standardization and configuration management under Fusion5, aligning approval chains and control points with NetSuite posting rules. The deployment materially sped up invoice approvals while maintaining integrated financial posting into NetSuite.
