In 2021, Perfetti Van Melle India implemented SymphonyAI Summit IT Asset Management to address distributed inventory and IT service challenges. The deployment covered Hardware Asset Management (HAM),Software Asset Management (SAM),IT Asset Management (ITAM),SaaS Spend Management capabilities to consolidate inventory, incident logging, change control, and lifecycle tracking across the organization.
The SymphonyAI Summit IT Asset Management rollout prioritized inventory management as the initial module, followed by a call logging system and structured change management workflows. Functional capabilities configured included asset lifecycle tracking from procurement to disposal, automated issuance and return processes tied to employee onboarding and offboarding, a centralized knowledge base for incident triage, and documented change request, review, and approval workflows, with targeted customizations to meet PVMI requirements.
Architecturally the implementation integrated SymphonyAI Summit with the company authentication layer through Active Directory to provide a single platform single window user experience, and PVMI modified and integrated several existing environments with the Summit environment to reduce context switching for end users. Operational coverage spanned over 45 locations in India, including eight major sites, factories and branch offices, and managed roughly 1,500 mobile assets that move across locations, supporting IT, procurement, and field sales operations.
Governance was tightened through system enforced change management and incident handling processes so that all changes must be logged, reviewed, approved, and retained within SymphonyAI Summit, and incident handling workflows were restructured to reduce duplicate ownership and improve first contact resolution. The team adopted an iterative rollout approach, implementing baby steps to mature processes and applying continuous system enhancements and customizations based on operational feedback.
Reported outcomes included higher end user satisfaction as incidents were resolved with fewer handoffs and faster access to knowledge base content, and the automation of asset lifecycle and procurement to disposal workflows eliminated manual tracking gaps. PVMI emphasized ongoing evaluation and evolution of the SymphonyAI Summit IT Asset Management deployment to sustain process maturity and user experience improvements.
