In 2010, Petroleum Wholesale implemented PDI ERP as its Retail Management platform to centralize store operations and transactional workflows across the organization. The deployment was aimed at consolidating cash reconciliation and invoicing processes into a single PDI ERP based operational environment for a U.S. wholesale fuel and convenience retailer with approximately 300 employees.
The PDI ERP deployment covered core functional modules and day to day operational capabilities, including cash reconciliation, running and validating invoices, and entering all transactional and master data directly into the PDI ERP system. Store ordering and vendor communication workflows were executed through the PDI ERP, and payroll verification processes were enforced by requiring accurate payroll hours to be reviewed before submission into payroll workflows. HR related case handling, staff hiring and training activities were managed in parallel to support system adoption and ongoing operations.
Operational scope extended across store operations, purchasing, customer service, maintenance coordination, and HR and payroll administration, with PDI ERP acting as the central record for invoicing and order activity. Business functions impacted included accounting, store operations, purchasing, maintenance coordination, customer service, and human resources, with routine tasks such as contacting businesses for invoicing issues, calling in maintenance issues and follow up, and handling customer complaints routed through PDI ERP related workflows.
Governance and rollout consisted of hiring and training all staff on PDI ERP workflows, establishing responsibilities for ensuring payroll hours were correct prior to submission, and defining procedures for invoicing exception handling and vendor communications. Day to day operational controls emphasized courteous customer complaint handling, prompt vendor ordering and follow up, and dedicated reconciliation and invoice resolution steps to keep the Retail Management environment aligned with operational needs.
