In 2019 P&O Ferrymasters implemented Proactis AP Automation to centralize and automate invoice processing across its transportation and logistics operations. The deployment targeted the AP Automation business function and was designed to remove barriers to payment while streamlining Accounts Payable and Accounts Receivable workflows for a 500 employee organization processing 192,000 invoices per annum.
The Proactis AP Automation implementation delivered a single document intake and processing layer that handles paper, PDF, fax, email and XML formats. The solution included an advanced scanning component with intelligent invoice data capture to extract invoice information at the point of scanning, plus automated processing of Proof of Delivery documents to reduce manual reconciliation steps.
Operational integration included a seamless connection to Unit4 Financials, enabling processed invoice data and POD evidence to flow into the finance ledger and posting processes. The rollout centralized the AP function so invoices from multiple sites were routed to a centrally located processing hub, improving timeliness and providing end to end visibility of invoice and POD document status across the business.
Governance and process transformation accompanied the technical deployment, with Proactis establishing automated AP best practices and controls and a sustainable, repeatable approach to managing spend and invoice processing. Outcomes cited by the customer include a more transparent process, increased internal control, 192,000 invoices processed electronically each year and a greater than 35% decrease in invoice processing costs, together with a reduction in debtor days driven by tighter invoice to payment workflows.
