In 2011 QSAC deployed Fund EZ Accounting as its ERP Financial system to centralize control of individual resident funds and in-residence cash operations. Fund EZ Accounting was positioned to support finance staff and house-level users who manage personal allowance distributions and day to day cash activity for residents.
Fund EZ Accounting was configured to enforce tenant-level accounting workflows, including resident General Ledger maintenance, cash posting for individual expenses, and automated recording of cash benefits such as personal and clothing allowances and Social Security benefits. The implementation emphasized modules for General Ledger, bank reconciliation, accounts receivable, cash management, and journal entry processing, with explicit workflows for posting adjusting entries for monthly bank fees and related charges.
Operational coverage extended across house staff, central finance personnel, and the QA Department, with daily operational tasks captured in the system such as verifying receipts for purchases, monitoring daily bank and debit card balances, and generating cash requirement reports to replenish in-house cash accounts. Users continued to leverage desktop tools including MS Excel and Word and interacted with organizational case management processes that reference Salesforce, while Fund EZ Accounting remained the authoritative record for resident financials.
Governance and controls were implemented to support unannounced audits coordinated with QA, verification of purchases during audit procedures, preparation of Representative Payee reports, and routine analysis of GL income and expense accounts to identify out of the ordinary transactions. The rollout centralized oversight of the AR process and established recurring processes for bank reconciliation, adjusting journal entries, and producing audit findings and recommendations.
