The retailer processed approximately 560,000 invoices annually, with 90 percent arriving via EDI and the remaining 56,000 paper invoices consuming five of nine AP FTEs, a pain point amplified by decentralized invoice ownership across 420 stores and multiple departments. DataServ AutoVouch was implemented with invoice capture and automated data extraction, auto-vouching and no-touch routing to accelerate processing. The configuration established a centralized invoice repository, full-lifecycle document retention management and audit log capabilities, alongside reporting and dashboard metrics to surface process status and exceptions. The deployment achieved no touch processing for 97 percent of invoices, with the remaining 3 percent consisting of travel and confidential invoices requiring manual handling. Operational coverage centralized invoices from diverse vendor channels including small service providers and large national suppliers, eliminating dispersed file caches and enabling on-demand digital retrieval for audits. Auditors were given direct access to the DataServ platform so the AP team did not have to produce physical documents, and the system provided transaction-level audit trails showing who touched a document and when. Improved visibility supported more accurate month end accruals by making outstanding obligations and workflow bottlenecks visible to AP. Rollout included thorough testing and end-user training conducted by DataServ prior to go-live, with an ongoing partnership to refine workflows and controls. Governance changes reduced tribal knowledge and controlled chaos by establishing clear process ownership, electronic workflow routing and centralized document indexing, enabling the AP team to identify gaps and bottlenecks through the platform audit logs and dashboards. Outcomes documented by Rack Room Shoes included centralized invoices, streamlined audits, elimination of onsite and offsite paper storage, and a reduction in physical paper from seven file cabinets to two.
