Key functional capabilities implemented included custom sales order forms with over 50 variations for customer labeling and pick ticket clarity, custom record structures for alternate labeling and pricing with over 82,000 active records, an automated royalty tracking structure that reduced monthly royalty labor by 45 percent, and automation of invoicing that reduced warehouse invoicing labor by 90 percent for 200 warehouse employees. Available to Promise and item commitment behaviors were augmented using saved searches and scheduled scripts to populate commit columns on sales orders. Integrations and architecture work addressed distribution, fulfillment, and content assets, including a tool to acquire FedEx and UPS proof of deliveries and group them with customer invoices for resubmission to Walmart. The team negotiated server syncing between Rico’s two locations to manage 8 TB of art and production files, and designed an internal server storage strategy that avoided external image storage fees while automating item placement on the SiteBuilder website for over 35,000 items. The program also produced 12 rugged handheld device applications for inventory tracking and order fulfillment and engaged 3rd party consultants and developers to populate custom general ledger lines for commissions and royalties used in monthly P and L reporting. Operational rollout covered accounting, warehouse, shipping, art development, customer service, and sales functions across the organization, with custom dashboards published for Accounting, Warehouse Managers, Shipping Managers, Department Supervisors, Art Directors, Artists, Customer Service, Sales Associates, Sales Managers, and Advanced Partners. Governance and process changes included a scaffolded employee learning and system development strategy, training of Super Users to author complex saved searches and enforce data stewardship, creation and maintenance of custom roles and security permissions, and a Super User team responsible for data governance and policy stewardship. The implementation team managed both in-house and 3rd party developers to sustain ongoing script creation, testing, and deployment. Outcomes recorded in the program included on-time delivery under budget with executive satisfaction, identification of over 4 million dollars in missed shipments and lost annual revenue, a 30 percent reduction in administrative and art development costs, a 25 percent increase in SKU creation per day at one site, and a 100 percent reduction in webmaster time required for item maintenance through the automated item-to-website pipeline.
