In 2021, Seattle Public Utilities implemented Accruent RedEye EDMS as its Document Management platform to modernize engineering records and accelerate plan processing across the Seattle region. The Accruent RedEye EDMS deployment targeted engineering records management and public records workflows, aligning document capture, indexing, and retrieval with municipal operations.
The implementation configured core Document Management capabilities including automated document capture and ingestion, metadata indexing, version control, full text search, and records retention controls. Workflows were instrumented for plan review routing, approvals, and digital markups to speed plan processing and reduce the need for in person records access.
Accruent RedEye EDMS was integrated with SPU's GIS environment to attach spatial metadata to engineering plans and to present records in a map driven context for field crews and planners. The program moved through a staged rollout, with system go live in 2022 and the launch of public record processes and an online portal in 2023 to extend access to external stakeholders.
Operational scope encompassed engineering, records management, and public records functions, with governance focused on centralized access controls, role based permissions, and revised record request workflows. Seattle Public Utilities reported outcomes including faster plan processing, reduced physical office visits for records in the Seattle region, improved accessibility, and reduced administrative burden.
