In 2018, Semper Solaris implemented Zenefits HCM as its Core HR solution. The deployment centralized HR recordkeeping and moved paper-based personnel files into an electronic HRIS to support HR, recruiting, and compliance functions.
The implementation included a bulk import of more than 3,000 paper employment records into Zenefits HCM and configuration of centralized employee record management and onboarding workflows. The HR team used the platform to manage I9 documentation and audit processes, and created training materials to instruct managers on accurate I9 completion and behavioral interviewing techniques.
Recruiting operations were coordinated with JazzHR for posting job requisitions, while HR administrative work such as oversight of the Human Resources Inbox was centralized to the new system, reducing average response time from 60 minutes to 25 minutes per inquiry. Project activities documented more than 4,500 compiled documents for over 240 employees and an audit of more than 2,000 I9s completed within a three month span.
Governance and process changes included manager training programs, standardized interview templates and workflows, and the establishment of an electronic file governance model. Outcomes recorded during the rollout included a shift to a fully electronic HR department, an 85% reduction in I9 violations after targeted training, and a reduction in time-to-hire to 1.5 weeks.
