The Medius AP Invoice Automation implementation consolidated invoice capture, automatic matching, approval routing, electronic archiving, and exception handling into a centralized invoice processing stream. Configuration emphasized automatic three way matching and rules-based approval workflows to maximize straight through processing, while exception workflows surfaced mismatches for manual resolution. SoftwareONE also used supplier remediation workflows to have vendors correct and resend invoices so matching rules could be leveraged more broadly.
Governance shifted toward continuous process improvement and operational visibility to drive higher automation rates. SoftwareONE reported rapid attainment of high automation rates and improved visibility into where the process failed, enabling teams to identify root causes and contact suppliers to remediate invoice issues, a practice described by Pim Beijen Group NWC Manager. The implementation therefore primarily impacted the accounts payable and treasury related workflows and established a feedback loop between AP operations and suppliers to sustain automation gains.
