In 2013, Southland Casino Racing implemented BirchStreet AP 3-Way Auto-Match as part of a staged procure to pay rollout under the BirchStreet Systems platform, emphasizing AP Automation. The implementation at Southland Casino Racing, operating as Southland Park Gaming and Racing and an entity of Delaware North Companies, began with eProcurement and followed with AP Automation, Inventory Control and Recipe Management System modules during the December 3, 2013 rollout.
The deployment configuration centralized purchasing and accounting on a single cloud platform, enabling three way matching between purchase orders, receipts and invoices through BirchStreet AP 3-Way Auto-Match. Functional modules configured included eProcurement with punch-out supplier catalogs, the AP Automation module with invoice auto-matching, an Inventory Control module for perpetual inventory and cost calculations, and a Recipe Management System for menu engineering and food cost tracking.
Integrations were implemented with supplier punch-outs, allowing buyers to transact on supplier sites while retaining transactional and spend metadata inside BirchStreet. Operational coverage included purchasing, accounts payable, culinary operations and inventory-managed points of sale across the Southland Park venue, with the platform capturing spend data to support gaming board and state regulatory reporting requirements.
Governance and process restructuring included centralization of the AP process, KPI instrumentation established by the Director of Culinary and Hospitality Council to monitor module performance, and role changes for purchasing managers and AP clerks to operate within automated workflows. The rollout replaced manual spreadsheet driven workflows with system enforced purchase order generation, automated invoice routing and perpetual inventory practices.
Explicit outcomes reported after the implementation include manual purchase orders reduced to five per month, inventory item costs automatically calculated and updated with variance reporting, transferred food and beverage tracking saving three hours of labor daily and a 90 percent reduction in the prior manual transfer process. Additional results included the ability to manage product par levels with perpetual counts, improved vendor management through PO tracking, and a two day reduction in accounts payable and procurement month end close, along with faster menu adjustments enabled by the BirchStreet Recipe Management System and Menu Engineering capabilities.
