AssetSonar’s configuration supported standardized check-in and check-out workflows, serial number normalization, and custom metadata fields that reduced manual reconciliation across previously fragmented lists. Operational consolidation included importing data from multiple Excel spreadsheets and an Access database into a unified EZO AssetSonar inventory, creating a single source of truth for location, ownership, and utilization. The system’s mobile app and discovery agent provided real-time visibility to IT technicians, enabling faster device recovery at the end of the academic year and more efficient hotspot and Chromebook circulation across schools. Governance changes focused on workflow standardization and role-based access to the centralized inventory, with Lead Technician and Director of Technology driven processes to ensure consistent data entry and device assignment. These process controls addressed prior issues of duplicated work and inconsistent serial number formatting, and they institutionalized check-in/check-out procedures across the district. Reported outcomes from the deployment include simplified asset tracking, time and cost savings for the IT team, improved data accuracy, and clearer operational control over IT assets. EZO AssetSonar provided the district IT staff with consolidated visibility and control that directly supported device recovery and daily device lifecycle management.
