Operational payroll responsibilities included approval of bi-weekly payrolls totaling approximately $550,000 and processing multi-state payrolls for three affiliated companies, with payroll ledger submissions and reconciliations sourced from ADP and QuickBooks. ADP SmartCompliance operated alongside ADP Workforce Now benefit administration and integrated operationally with timekeeping and payroll inputs from ExakTime TimeSummit, accounting records in QuickBooks, and recruiting intake through CareerBuilder. The deployment supported payroll and HR functions across the corporate office in Mooresville, a satellite office in Bethel, and multiple field sites, and accommodated contractor invoicing processes for six contract companies. Governance and process controls were formalized through creation of standard operating procedures for payroll and site administration, separate employee handbooks for corporate and field staff, weekly and quarterly workforce planning meetings with the CEO and VP of Business Operations, and established formats for performance improvement plans. Compliance activities tracked through the ADP SmartCompliance portal included EEO-1 filings for 2017 and 2018, unemployment hearings, EEOC complaints, worker’s compensation records, ADA and FMLA documentation, and routine federal and state tax filings.
