In 2017 Swillhouse implemented Lightyear Accounts Payable as its AP Automation solution. The deployment leveraged Lightyear Cloud for end to end accounts payable processing and was embedded into the company finance operations supporting group bookkeeping at the Darlinghurst NSW location.
Lightyear Accounts Payable was configured to support invoice capture, coding and verification, approval workflows, batch payment execution and posting of AP ledger entries. Configuration extended to handling accruals and prepayments, inter-company loan account entries and full function accounts receivable workflows, aligning with existing month end close tasks and monthly balance sheet reconciliations.
The implementation integrated with Xero for financial consolidation and reporting, and operated alongside time and payroll systems including Deputy and Employment Hero where the finance team provided troubleshooting and data maintenance. Operational scope included accounts payable, accounts receivable, payroll coordination for single touch payroll STP reporting and Payroll Tax lodgement in New South Wales, plus reconciliation of bank and credit card accounts.
Governance changes included formalized bookkeeping policies and procedures, creation of training manuals using Loom, and onboarding and management of junior accounting staff to sustain the new workflows. The configuration supported the finance team in delivering monthly accounts to senior management and improved department workflows through standardized AP Automation processes.

Operational integration and data flows included the use of Xero to compile financial data gathered from multiple sources, Lightyear Cloud for full function accounts payable workflows, and Deputy as a rostering and time capture system subject to internal troubleshooting and data maintenance. EmploymentHero Payroll was part of an operational stack that required ongoing internal helpdesk support for EmploymentHero, Deputy and Lightyear Cloud, and outputs from payroll were incorporated into month close and monthly accounts delivered to senior management.
Governance and process changes included establishment of bookkeeping policies and procedures, monthly reconciliation routines for bank statements credit cards and inter company loans, on boarding and training of junior accounting staff, creation of training manuals using Loom, and a support cadence for stakeholder queries.
