In 2019, Swinton Estate deployed Zahara Accounts Payable as its core AP Automation solution to centralize invoice processing and purchase order workflows. The implementation targeted the company finance function within a 146 employee leisure and hospitality organization, supporting multiple strands of the business and month end close activities executed by the in-house finance team.
Zahara Accounts Payable was configured to support invoice capture, purchase order creation and PO quality assurance prior to approval, automated approval routing, three way matching aligned with purchase orders, and statement reconciliation. The QA process documented in system workflows enforces tax verification and checks for sustainably sourced items as part of invoice validation, aligning day to day duties such as weekly Bacs runs and sales ledger maintenance with system controls.
The deployment integrated Zahara Accounts Payable with existing operational tooling for accounts processing, specifically feeding and reconciling data with Sage and Landmark systems and exchanging spreadsheets with Excel for ad hoc reconciliation and reporting. Operational coverage includes accounts payable, procurement related PO controls, treasury cash and card transaction handling, and month end prioritization governance managed by the finance team through Zahara Accounts Payable workflows.
