National Australia Bank Legacy FlexiPurchase (OEM Fraedom Spendvision) Expense Management ERP n/a 2019 2019
In 2019 Sydney Tools implemented FlexiPurchase (OEM Fraedom Spendvision) as its Expense Management solution to centralize corporate card and employee reimbursement workflows. The deployment targeted Finance functions across Sydney Tools Pty Ltd and was positioned to support retail store accounting and corporate finance reconciliation processes. The FlexiPurchase (OEM Fraedom Spendvision) implementation focused on expense portal capabilities and corporate card management, with configuration to support monthly credit card reconciliation and GL posting. Operational modules and capabilities referenced in internal accounting records include a Flexi purchase portal used for monthly credit card reconciliation covering 110 credit cards, expense capture for employee reimbursements, and structured journals for GL adjustments. Operational coverage extended to bank reconciliations and retail store cash management, with accounting notes documenting reconciliations for a main account, interest account and 67 store bank accounts. The finance team ran weekly and monthly sales analysis that referenced till and online payment channels such as Zip Pay, Latitude Pay, PayPal and Humm, while payroll reconciliation and payroll tax lodgement processes were executed alongside expense workflows. Governance and process changes were organized around a cadence of weekly and monthly reconciliations, weekly casual labour and reimbursement payments, and monthly GL analysis and adjustment journals. The implementation routed corporate card reconciliations through the Flexi purchase portal and integrated bank feeds with National Australia Bank to support bank reconciliations, while finance retained responsibility for payroll reconciliation, payroll journals, and ad hoc support to accounts payable and receivable teams.

The Access Group Legacy Access Attache Payroll Payroll HCM n/a 2017 2017
In 2017 Sydney Tools implemented Access Attache Payroll to manage retail payroll operations across its chain of more than 20 stores. The deployment supported weekly pay runs and centralized payroll administration within a company employing approximately 1,000 staff, with a dedicated payroll officer processing wages for 200 plus employees on a weekly cadence using Access Attache Payroll, establishing the year and application association clearly. The Access Attache Payroll implementation was configured to handle core Payroll capabilities, including weekly pay run processing, award interpretation and hours calculation based on recorded timesheets, PAYG reporting, superannuation reporting and payroll tax reconciliation. Payroll processing workflows included manual and system-assisted matching of timesheet hours to published rosters, interpretation of enterprise award rules for entitlement calculations and handling of employee pay queries as part of routine payroll cycles. Operational integrations and data flows included the use of a timesheet system known as TimeTarget for hour capture, with timesheet data reconciled against rosters prior to pay runs, and routine coordination points with accounts payable, purchases teams and suppliers to validate payroll-related transactions. The implementation covered commission and sales reporting for sales employees across stores, with sales figures extracted and assessed to determine commission eligibility for quarterly cycles, and payroll outputs used to support monthly PAYG, Super and Payroll Tax payments and reconciliations. Governance and process changes centered on establishing communication channels between the payroll function and senior finance, accounts payable and purchasing teams to maintain the integrity of monthly reports and resolve discrepancies. Day to day operational governance included weekly verification steps such as bank and card reconciliations, resolving payroll queries, and providing backup capacity for accounts payable invoice review and processing while retaining Access Attache Payroll as the primary Payroll application.
