Operational modules and capabilities referenced in internal accounting records include a Flexi purchase portal used for monthly credit card reconciliation covering 110 credit cards, expense capture for employee reimbursements, and structured journals for GL adjustments.
Operational coverage extended to bank reconciliations and retail store cash management, with accounting notes documenting reconciliations for a main account, interest account and 67 store bank accounts. The finance team ran weekly and monthly sales analysis that referenced till and online payment channels such as Zip Pay, Latitude Pay, PayPal and Humm, while payroll reconciliation and payroll tax lodgement processes were executed alongside expense workflows.
Governance and process changes were organized around a cadence of weekly and monthly reconciliations, weekly casual labour and reimbursement payments, and monthly GL analysis and adjustment journals. Operational integrations and data flows included the use of a timesheet system known as TimeTarget for hour capture, with timesheet data reconciled against rosters prior to pay runs, and routine coordination points with accounts payable, purchases teams and suppliers to validate payroll-related transactions. The implementation covered commission and sales reporting for sales employees across stores, with sales figures extracted and assessed to determine commission eligibility for quarterly cycles, and payroll outputs used to support monthly PAYG, Super and Payroll Tax payments and reconciliations.
Governance and process changes centered on establishing communication channels between the payroll function and senior finance, accounts payable and purchasing teams to maintain the integrity of monthly reports and resolve discrepancies.
