In 2021 Trilogy Personnel and Land Management implemented Datatech HCM to consolidate Core HR functionality for onboarding, benefits administration, and HR operations. Datatech HCM was used as the primary Core HR application to process hire packets, verify employment documentation, and manage benefits-related eligibility workflows for field and office staff. Datatech HCM was configured to support onboarding and personnel record management, including intake and verification of I-9, W-4, and DE 4 forms, enrollment into medical and dental plans, and 401K enrollment processes. The system was used to record and process wage garnishments and verifications of employment, and to run periodic reports such as weekly 401K contribution reports and monthly medical insurance eligibility reports based on hourly criteria. The deployment integrated operationally with existing field onboarding channels and third party points of contact that were explicitly used by the company, including the Ganaz onboarding application for digital hire packet capture and Voya for 401K contribution submission. Datatech HCM records were exported to the company share drive as PDFs to maintain a digital archive for more than 1,900 employees who were digitally onboarded through Ganaz, supporting both field-based and office HR activity in Visalia California. Governance and process changes accompanied the rollout, with Standard Operating Procedures created for processing direct deposits, completing hire packets, handling medical insurance forms and reports, and producing the 401K submission file. Ongoing operational controls included audits of employee accounts to validate sick time plan application and audits of hire packet completeness, and HR support staff used Datatech HCM to centralize benefits intake, reporting, and routine employee communications.
