Sage Legacy Sage Intacct ERP Financial ERP n/a 2014 2014
In 2014, University of St. Augustine for Health Sciences deployed Sage Intacct as its ERP Financial system to centralize student billing, receipting, accounts payable, and cash management workflows. The implementation targeted core finance functions including accounts receivable, tuition and fee assessment, refund processing, and petty cash oversight, aligning the Sage Intacct deployment with student accounts and bursar operations as well as central accounting. Configuration and functional modules emphasized recurring AR collections and cash reconciliation workflows, with weekly AR management to initiate and confirm correct data and to analyze past due accounts. Tuition and fee assessment workflows were configured to record and process changes and miscellaneous fees, reconcile returned items reversals and missing payments, and audit accounts for payment accuracy against lender requirements. Refund and return processing was implemented to handle drops withdrawals and credit card returns, and receipting workflows included scanning and saving student payment documents for accounting batch processing. Integrations and operational coverage were explicitly scoped to support third party procure-to-pay connectivity and payment channels, invoices entered into Coupa were processed and paid through Sage Intacct, and cash posting routines covered credit card payments wire transfers and lockbox reconciliations. The solution also handled intake and reconciliation of income funds from private lenders and the Department of Education, ensuring receipting records and reconciliations were maintained for lender compliance. Document retention and receipt imaging were incorporated into the accounting posting process to support batch processing and audit trails. Governance and process controls were defined around weekly AR cadence reconciliation routines and account audits to ensure records matched external lender requirements, and petty cash management included request processing collection of expense receipts and communication of departmental balances to accounting for booking. Segregation of duties was implemented between receipt capture and batch posting to accounting, and workflows routed AP invoice entry in Coupa through Sage Intacct payment processing to maintain a single financial ledger. Sage Intacct was used as the authoritative ERP Financial ledger for student payment lifecycle and vendor payment execution.
