In 2010, Vaultex implemented Microsoft Dynamics GP 10 to replace an IBM AS/400 accounting environment, establishing Microsoft Dynamics GP as the companywide ERP Financial platform for core finance operations. The deployment targeted accounts payable, procurement interfacing, fixed asset control and the consolidated financial reporting suite used across the group, consolidating transactional finance workflows under the ERP Financial application.
The Microsoft Dynamics GP implementation encompassed accounts payable processing, purchase order matching, expense processing and fixed assets management, with weekly payment runs and month and year end reconciliations for accruals, prepayments, trade creditors and bank reconciliation. Project work produced formal procedure manuals for accounts payable, purchase order and company expenses, and enforced a structured authorization matrix for coding, matching and authorising invoices, corporate purchasing cards and petty cash.
Integration and data flows included a staged temporary paper purchase order policy followed by implementation of Proactis Eprocurement, with users trained on both the interim paper PO process and Proactis. Reporting integration was delivered using JET reporting software to extract and consolidate transactional and procurement data from Proactis and Microsoft Dynamics GP, supporting the financial reporting suite for the entire group.
Operational and governance changes accompanied the technical rollout, with reallocation of the temporary accounts payable team from Nottingham to Warrington and the creation of a new AP team that was right-sized through systems and process efficiencies. Formal HR and performance frameworks were implemented, including job specifications, KPIs, appraisals and quarterly reviews, alongside supplier governance through quarterly supplier meetings and annual management of internal and external auditors.
The program included explicit cost recovery and savings activities, with recoverable costs and supplier/rates reviews yielding 167k saved and recovered in year one, 87k saved in year two and a further 118k saved on rates costs projected over four years, with total business rates savings of 242k. Microsoft Dynamics GP supported the tightened spend controls and reporting that underpinned these savings and the centralized financial control model.
