Company level controls observed include the Create Postings at Invoice Entry check box and the automatic payment authorization level set to When Posted, configuration elements that determine whether vouchers are created at invoice entry and whether a Preliminary Posted invoice receives Preliminary Posted Auth status; if the Create Postings at Invoice Entry box is cleared, vouchers are not created and invoices remain in Preliminary status.
Vitacress integrated Documation OCR to capture invoice data and feed it into IFS, and data flows from Documation to IFS correctly into the AP workflow. The operational coverage is scoped to the Vitacress Salads UK Herbs business unit and impacts accounts payable users and procurement matching processes.
During the 2014 implementation and subsequent operations, invoices that perfectly matched purchase orders were being posted to Preliminary and required users to click Match to complete posting, indicating the system was not performing automatic voucher creation or automatic authorization under the observed configuration. The implementation team referenced the APPS9 BDR which describes automatic authorization behavior when Create Postings at Invoice Entry is selected and the automatic payment authorization is When Posted, and noted that APPS8 may enforce the same company level configuration logic. This behavior is therefore consistent with company level posting and authorization settings in IFS Cloud ERP and should be addressed by validating the Create Postings at Invoice Entry and automatic payment authorization configuration.

Governance and rollout were organized around regional payroll administration and localized statutory configuration, with centralized oversight of payroll schedules and employee master data governance. The implementation anchored payroll and time workflows within Ceridian Dayforce Payroll, creating a consistent operational model for HR and payroll functions across Vitacress sites.

Operational workflows routed quality exceptions and out of specification occurrences to production managers, QA supervisor and the factory technical manager immediately, supporting investigations and customer complaint response. The implementation supported backward and forward traceability exercises including mass balance, scheduled collection and dispatch of samples to external laboratories, and daily liaison between operations and quality teams to ensure safety, legality and quality checks were performed.
Governance was embedded through scheduled internal auditing, trend analysis of audits, inspections and non conformances, and documented closure of CAPA items. The IQMS ERP deployment standardized QMS tasks and calibration schedules across operations and engineering, enabling consistent documentation of HACCP checks and operational problem solving.
