The system was used alongside the cloud based document system NetDocs for archival storage and correspondence management, and operational workflows included requesting medical records and itemized bills via facsimile, online portals, and email, as well as routine contact with defense insurance adjusters to update liability and treatment status. Operational coverage focused on pre-litigation paralegal and case management business functions within the Austin office, including direct client interaction and coordination with local hospitals and investigative sources. Governance and rollout emphasized user training and process standardization, with staff trained on NEEDLES and NetDocs, weekly client contact protocols, standardized procedures for records retrieval and redaction, and structured assembly of discovery and demand documentation. These governance steps anchored the system in daily paralegal operations and defined how client communications, evidence collection, and insurer liaison activities were executed through Assembly Needles Neos.
