White Lodge Hotel implemented Zonal PMS in 2016. The Zonal PMS was deployed to address the hotel’s Hotel Property Management needs at the single-site White Lodge Hotel in the United Kingdom, centering on front desk and guest services operations.
Implementation concentrated on core front office modules, including check-in and check-out workflows, reservation management, guest profile and communications logging, and cashiering to support daily banking and balancing tasks performed by reception staff. Configuration extended to maintenance and housekeeping issue logging and task assignment, aligning with receptionist responsibilities for creating bookings and logging problems for other hotel departments to handle.
Operationally the Zonal PMS coexisted with the hotel’s online booking tool identified by staff as High Level Software, with receptionists creating bookings via that online software while managing arrivals, departures, and guest interactions in Zonal PMS. Guest communications handled through phone, email and third party channels such as Booking.com were recorded in front desk workflows, and incident logs were routed to housekeeping and maintenance teams through the PMS tasking functionality.
Governance and rollout focused on reception and guest services, with process changes to formalize daily banking and balancing, booking entry, guest communication records, and cross-department escalation procedures. Training emphasized consistent use of Zonal PMS for front desk transaction posting and for creating maintenance and housekeeping work items from receptionist-reported issues.
