The district configured discrete OnBase workflows and document intake modules, with the Chief Technology Officer developing the majority of the system and accompanying workflows. Implemented workflows include teacher contract processing, invoice payment routing, student withdraw processing, student entrance intake, and a webCRD copy request process that replaced a prior in house copy request form. Paper to digital conversion was completed within a two year period, and OCR was improved using FlexiCapture so that approximately 95 percent plus of incoming invoices route automatically to the correct OnBase invoice payment workflow queue. Integrations and operational coverage were explicitly built into the implementation, with OnBase invoice workflow data exposed to SQL queries used for financial balance reporting. Student information feeds were combined with the student data warehouse to drive Tableau reports and dashboards, and the Tableau Server was secured via Active Directory integration. District scanning was standardized using Konica-Minolta Dispatcher workflows to route scans directly into OnBase, and user provisioning and authentication workflows connected to Active Directory and UMRA for account builds and Google authentication updates. Operational scope encompassed central business functions including finance, payroll, HR, student information system support, copy center operations, district copier fleet management, and state and federal reporting. Network and hosting constraints were addressed by the district network architecture that includes a 100 Gb fiber loop with a minimum of 10GB links to each of 20 sites, and OnBase services supported a population of roughly 21,000 Active Directory users. Governance and process changes were led internally by the CTO, who directed workflow design, reporting query development, and periodic operational refinements such as the copier charge back model that funds periodic hardware upgrades.
