In 2014 Year UP implemented Oracle NetSuite ERP as its ERP Financial platform to centralize accounts payable, expense management, and vendor master processes. The rollout targeted timely processing and payment of invoices and reimbursements, and established formal pre-approval and verification controls for travel and non-travel reimbursements.
Configuration work centered on vendor master and payments workflows, where vendor records were created in Oracle NetSuite ERP with mapped External ID and Internal ID values and corresponding Vendor ID entries maintained in Concur prior to Excel-based imports. The implementation included accounts payable invoice processing, expense claim verification for non-employee and corporate card charges, and systematic importing of invoice payment Excel sheets into both Concur and NetSuite to support transaction posting and reconciliation.
Integrations explicitly included Concur for travel and expense management and an Excel import pipeline for batch invoice and payment uploads, with operational coverage spanning finance, accounts payable, travel and expense teams, and vendor management staff. The team also incorporated annual tax reporting procedures into the operational scope, assisting with Form 1099 preparation for applicable vendors and managing vendor W9 collection as part of vendor onboarding and payment eligibility.
Governance and workflow restructuring defined pre-approval gates, documentation verification steps and vendor creation controls to ensure purchases and services were authorized and received before payment. Record keeping procedures and tracking mechanisms were established in Concur to capture remedial measures and to enforce controls around vendor payments, expense claims and 1099 compliance.

In 2016, Year UP deployed Sterling Background Check from Sterling Talent Solutions under the BackGround Screening category to support admissions operations at its Year Up Bay Area site in San Francisco, with Admissions Specialists coordinating screening workflows during the August to November 2016 intake cycle. The implementation focused on operationalizing background screening as part of the admissions funnel, with staff coordinating candidate scheduling, interview slots, and the exchange of required documentation.
Sterling Background Check was configured to orchestrate applicant-initiated screening workflows, handle candidate identity and document collection, and deliver screening results to admissions staff, consistent with BackGround Screening functional workflows. The system supported routine coordination tasks performed by Admissions Specialists, including lining up 28 weekly interview slots, preparing Information Session packets, and managing candidate assessment scheduling.
Integrations were operationally explicit, screening coordination used Sterling Direct for case execution while admissions-related candidate records and status were entered into Salesforce, linking background check outcomes to the Salesforce admissions record. Student Services was incorporated into the operational flow through scheduled student support plan meetings triggered by screening outcomes and admissions gating decisions.
Governance centered on the Admissions team as the operational owner for screening coordination, with processes formalized for scheduling, data entry into Salesforce, and cross-team handoffs to Student Services for follow-up. The deployment emphasized process orchestration between admissions scheduling, Schoology academic assessment workflows, Sterling Background Check case handling, and CRM recordkeeping.
