The implementation emphasized document management and automated document assembly typical of Intelligent Document Processing, with a Document Management Library introduced to house state‑specific loan disclosures mapped to each loan package. Configuration work included template management, disclosure routing by state and loan type, and institution of processes for document version control and compliance tagging to support disclosure accuracy and auditability.
Operational scope covered mortgage servicing, purchasing bulk loans, and customer retention activities, most notably a Retention Modification Program that permitted customers to modify rate, term, and payment with zero costs and greater efficiency than a refinance, designed to protect mortgage run‑off from refinancing. Governance changes included forming a Mortgage Complaints Department and directing a mortgage resolution team to address servicing and bulk purchase complaints, with explicit processes, expectations, and service level agreements established for escalations and resolution.
Implementation governance assigned a named business owner for DocMagic LoanMagic, who acted as the expert user on sales systems and managed user acceptance testing to validate packaging and disclosure workflows. DocMagic LoanMagic was used operationally to support mortgage servicing functions, compliance reporting workflows including HMDA LAR, and centralized document lifecycle control under newly defined governance and SLA frameworks.
