The deployment centers on electronic invoice capture and automated posting into Varian’s financial systems, with Jaggaer Invoicing positioned as the primary invoicing application for supplier interactions.
The implementation configures multiple invoicing pathways aligned to supplier volume and capability, including Evaluated Receipt Settlement ERS self billing, Portal Invoicing via Jaggaer Direct Portal for Supplier Electronic Invoices SEI, high-volume EDI invoicing, emailed PDF invoices, and traditional hardcopy processing. Jaggaer Invoicing is configured to support three-way check workflows of purchase order, invoice, and goods receipt where applicable, and the ERS option posts invoice documents automatically using purchase order price and quantity received, with packing list numbers used as invoice numbers when ERS is selected.
Integrations are explicit and operational, Jaggaer Invoicing feeds invoice data into Varian’s SAP system, and EDI transmissions are routed through Pool4Tool before posting to SAP. Payments are executed via electronic bank-to-bank transfer using Automated Clearing House ACH rails, and Varian enforces Net 60 payment terms across the invoicing options. The supplier guidance notes regional availability for specific methods, directing suppliers to contact their regional Varian A/P team for local details.
Governance and process controls emphasize supplier onboarding to auto-invoice options and strict purchase order requirements, invoices must include valid PO numbers to avoid delays or rejection. Hardcopy invoices are processed according to receipt date, while SEI and EDI routes are designed to minimize manual intervention in accounts payable processing. Operational responsibilities remain with the Varian Accounts Payable Department for supplier communications and regional execution.
The implementation documentation highlights operational characteristics rather than quantified outcomes, noting that EDI is used by larger suppliers to reduce manual steps and improve transactional accuracy, and that ACH payments ensure payment integrity while reducing risks associated with checks being contaminated or lost.
