In 2012, Actavo Group implemented Oracle NetSuite ERP as their ERP Financial platform to centralize core accounting and financial management. The Oracle NetSuite ERP deployment focused on establishing unified general ledger processes, accounts payable and receivable workflows, and consolidated financial reporting across the organization. In 2018 Actavo Group implemented Access PeopleXD Payroll (formerly CoreHR Payroll) to centralize payroll processing for its Irish operations. The implementation was established to support multi company Payroll across Actavo locations including a payroll specialist team based at Naas Road, Dublin 12, and to operationalize Irish Payroll and Northern Ireland Payrolls for the business.
Access PeopleXD Payroll was configured to handle core payroll functional workflows including employee setup and bank detail updates, CSO detail configuration, processing payroll for approximately 700 employees, and management of employee deductions such as union and pension contributions. The platform supported monthly bonus file uploads, manual input of approximately 200 employees timesheets for hours overtime bonus damage and mid cycle payments, manual calculation of PAYE PRSI and USC, payroll journals, and management reporting.
The payroll environment integrated operationally with external agencies and providers through established interaction workflows, including Revenue communications, Dept of Social Protection, and pension providers, and by uploading files for EMTS and awaiting approvals. Operational ownership extended to producing and distributing detailed weekly reports to each business unit for approval prior to payroll close, processing mid cycle payments and adjustments after payroll close, and handling forms such as loan applications and salary certificates.
Governance and process controls emphasized strict deadline adherence and authorization controls, ensuring employee changes were entered timely with proper approvals and tax details were kept current for each employee. The payroll team managed payroll and networks email accounts to respond to pay queries and maintained time and attendance checks to identify and correct errors, supporting business functions across payroll administration finance and HR while maintaining centralized control through Access PeopleXD Payroll.
