Operational coverage emphasized 2 way and 3 way PO matching, exception resolution workflows, vendor payment verification and participation in month end closing activities by the AP team in Dallas.
Governance focused on invoice approval routing and exception handling to support accurate ledger posting and aging report maintenance, with AP staff responsible for discrepancy resolution and client communications as part of the new operational process. The Quadient Neopost IS-5000 was configured as the central mailing and folding processor, working alongside onsite print hardware including Datamax printers, an 8302 printer and standard printer units to produce license documents and inserts. Mailing System workflows incorporated batch sorting, mailpiece metering and folding, quality inspection checkpoints and FedEx outbound processing for expedited shipments, while email and the company intranet served notification and case-tracking roles.
Operational scope spanned fulfillment, customer service and account management, with staff resolving expedites, missing or lost licenses and complaints, and assisting account managers on inventory, state required materials and fraud concerns. Governance and process structure included a designated Transfer of Asset Representative and coordinated handoffs between fulfillment, shipping and account management to ensure compliance with state requirements and consistent handling of customer service escalations.
