| Tipalti | Legacy | Tipalti Invoice Management and Bill Processing System | AP Automation | ERP | n/a | 2018 | 2018 |
In 2018, Acuity Eye Group implemented Tipalti Invoice Management and Bill Processing System as its AP Automation solution to centralize accounts payable across its clinical practices and optical retail operations. The deployment covered 12 subsidiaries and 50 locations, and positioned Tipalti Invoice Management and Bill Processing System as the primary AP Automation platform for the companys finance organization.
The implementation emphasized automated invoice processing and a consistent vendor onboarding program, including multi-entity vendor verification and vendor account creation workflows. Tipalti was configured to capture and process high volumes of invoices from optical frame orders, medical supplies, lenses, and surgical costs, and to execute ACH payments according to scheduled payment runs, simplifying approval routing via email.
Tipalti integrated with NetSuite so that invoices processed in Tipalti appear in NetSuite for financial visibility and posting, enabling the finance team to reconcile payables across entities. Operational coverage centered on the accounts payable and treasury functions, reducing manual invoice entry by AP staff and removing the need for physicians and the CEO to sign physical checks as part of the payment cycle.
Governance changes included a standardized vendor onboarding and verification process to support tax compliance and stronger approval controls, and payment orchestration that scheduled payments to the correct vendor accounts. The implementation explicitly reduced instances of payment fraud and eliminated the majority of the prior manual workflow, and the organization observed that Tipalti scales with growth while serving as the AP Automation backbone for Acuity Eye Group.

| ADP | Legacy | ADP Workforce Now | Core HR | HCM | n/a | 2017 | 2017 |
In 2017, Acuity Eye Group implemented ADP Workforce Now as its Core HR platform to centralize HR and payroll functions. The privately held ophthalmology group operates roughly 50 clinics in the United States with approximately 600 employees and $140 million in annual revenue, and HR leadership managed integration for eight acquisitions as part of the deployment.
The ADP Workforce Now implementation was built out as a fully functional HRIS to support core HR, payroll, benefits administration, onboarding, and talent acquisition workflows. Functional capabilities configured included payroll processing, benefits enrollment and connectivity to an online benefits platform and broker, position and job description management, onboarding packet distribution and employee handbook publishing, and talent acquisition activities including online employer branding and social media driven hiring. Retirement plan administration was reconfigured through a redesigned 401k plan and standardized pre tax plan rollout.
Operational coverage extended across all regions and clinical sites, with governance shifted toward centralized HR processes including new regional reporting structures, standardized job descriptions and incentive plans for operations and call center staff. The deployment implemented an online approval workflow for doctor contracts, moving approval responsibility into HR and embedding role based responsibilities into the process. A Compliance and Contracts function was established inside the HRIS, and HR leadership at times managed Credentialing, Compliance and IT to cover staffing gaps.
Governance and process changes included creation of new operations structures, approximately 60 new job descriptions produced between June and December 2017, and issuance of updated employee handbook, onboarding packet and arbitration agreements. The program supported rapid integration activity, recruiting and onboarding over 250 acquired and newly hired employees in a seven month period while consolidating HR and payroll across multiple acquisitions. This narrative documents Acuity Eye Group, ADP Workforce Now, Core HR and the operationalization of HR services across a multi site clinical organization.
