The deployment targeted the accounts payable organization supporting 2,102 retail stores across 28 states and the central AP team that averaged 21,199 invoices per month from 9,548 vendors, with an initial operational focus on the eight full time AP employees who managed invoice entry and indexing.
ABBYY FlexiCapture for Invoices was configured to classify and extract invoice data across distinct utility and non utility workflows, including template mapping, automated date imprinting on scanned images, and data verification screens for human review. Configuration emphasized mapping variability across many vendor formats, training extraction templates, and using split screen verification to reduce manual keying, with the application also producing upload templates for downstream validation.
The implementation integrated ABBYY FlexiCapture for Invoices with Advance America’s EDI pipeline, the financial system upload process, and the document imaging repository, using an automated scheduler to push validated data into EDI and to send original scanned images to a depository drive. The architecture included server hosts for the capture and verification environment, automated purge logic to remove stored images after 120 days, and a workflow that routes non utility invoices for approval before scanning so a single capture action both extracts data and provides document backup.

Outcomes from the ABBYY FlexiCapture for Invoices deployment include a reported 38% reduction in time spent processing invoices and earlier flagging of billing issues through automated validation, while Advance America continues vendor by vendor mapping and is exploring additional internal uses of the ABBYY FCI platform.
