In 2018 Advance Publications, Inc implemented OnitX ELM as a core component of a Legal Practice Management initiative to centralize matter, contract and spend workflows across its New York based legal organization. The implementation was driven from a newly created legal operations function reporting to the Chief Legal Officer, tasked with incorporating a captive law firm into an in-house legal department and building standardized processes and organizational models between 2018 and 2019.
OnitX ELM was provisioned to serve matter management and contract lifecycle management needs, and the program included deployment of eBilling capabilities using Onit Tracker and a document management system as part of the initial 12 month rollout. Configuration work emphasized matter intake, accruals logic, invoice approval routing, spend reporting and contract lifecycle stages, accompanied by change communication, staff training and new process documentation to embed the platform into daily legal operations.
The deployment integrated explicitly with eBilling workflows on Onit Tracker and coexisted alongside Visual Lease for real estate portfolio management and Diligent and Blueprint for entity management, reflecting a multi-system legal technology stack. The legal operations team partnered with the corporate IT organization and outside consultants to build an interactive business intelligence dashboard, linking matter and spend data to Finance for accruals, forecasting and monthly reviews, and expanding operational coverage into Procurement, Sales and HR where required.
Governance was formalized through new vendor management processes, outside counsel guidelines, and a KPI driven reporting cadence that reported directly to department leadership and Finance. OnitX ELM and associated tools were governed by workflows that prioritized invoice approval controls, vendor compliance checks and standardized contract templates, and the legal operations leader retained P and L responsibility for law business and operating expenses while managing headcount and budget planning.
The program delivered a rapid technology and process stack, with eBilling and related systems implemented within six months and a document management plus contract lifecycle and matter management deployment completed within twelve months. The Legal Department managed a $42 million budget in 2019 and executed vendor consolidation and fee negotiations that produced an explicit 25 percent reduction in outside counsel spend in eight months, reflecting combined technology enabled controls and revised vendor management processes.
