In 2013, Aerosoles implemented ADP Workforce Now to centralize Core HR operations across its retail payroll and HR administration. The deployment was positioned to support biweekly multi state payroll processing for approximately 900 hourly and 150 salaried employees, and to serve as the primary payroll and HR record system for the organization.
Configuration and functional modules of ADP Workforce Now included payroll processing, tax jurisdiction setup, benefit deduction management, retirement contribution handling, FSA and DCFSA administration, ACA reporting, generation of payroll journal entries and GL upload workflows, and ADP reporting for ad hoc and scheduled reporting. The implementation also included operational practices for issuing and funding ADP Money Network pay cards, preparing manual final pays, and coordinating ACH transfers with Treasury for off cycle payments.
Integrations and operational coverage were explicit parts of the implementation, with indicative data imports from iCims and HRB used to audit hire and payroll data, Kronos referenced for timesheet and profile validation, and Solomon used to receive payroll journal uploads. The payroll operations covered multi state compliance activities, vendor remittances for 401k loans and transit contributions, monthly reconciliation of medical, dental and vision billings, and submission of contributions to administering vendors.
Governance and workflow responsibilities were defined around compliance and controls, including verification of new hires through SSA Online Business Services, setting up new tax jurisdictions within ADP, quarterly labor statistics and workers compensation reporting, and handling unemployment and disability claims. The ADP Workforce Now implementation also incorporated HR staff training and backup procedures to maintain continuity during transition periods, and routine monthly and quarterly review processes to enforce federal, state and local legal requirements.
