In 2020 Aesop implemented Oracle NetSuite ERP as its ERP Financial platform. The deployment was centered on supporting finance and indirect procurement workflows originating from Aesop Head Office Melbourne and the Global Head Office in Collingwood, aligning system administration responsibilities with a 2,037 person organization.
Oracle NetSuite ERP was configured to provide core financial capabilities, including general ledger, accounts payable, accounts receivable, and procurement-adjacent financial workflows, with an emphasis on transactional finance, reporting and data modeling for procurement analytics. Configuration work included role-based system administration, structured approval workflows, and reporting models to support the Indirect Procurement team and Procurement Manager in delivering sourcing and process improvement insights.
Operational coverage extended to administration of adjacent contract management and corporate travel systems, with the Procurement Analyst role explicitly accountable for day to day contract management system administration and for handling system administration requests relating to the chosen Global Travel Provider. NetSuite was used as the authoritative financial system, with coordination between Finance, the Indirect Procurement team and Legal for document governance, master data and reporting needs.
Governance and rollout emphasized documentation, training and embedding new procurement processes, with a continuous improvement plan managed jointly by Procurement and Legal stakeholders. The implementation positioned Aesop Oracle NetSuite ERP ERP Financial to support procurement system administration, contract lifecycle oversight and analytic reporting, with internal ownership for process documentation, user training and ongoing configuration changes.

| Workday | Legacy | Workday HCM | Core HR | HCM | n/a | 2020 | 2020 |
In 2020 Aesop implemented Workday HCM as its Core HR platform to centralize HRIS operations for Global Head Office and ANZ Retail. The deployment targeted the Regional People Services team based in Melbourne, with operational coverage focused on employee lifecycle management across headquarters and retail operations, and the HR Coordinator role directly responsible for maintaining system data integrity and service delivery.
Workday HCM was configured to support end to end employee lifecycle capabilities including processing starters and leavers, employee changes, leave of absence management, right to work status tracking, and L&D administration. The implementation emphasized HRIS support workflows, data accuracy controls, and reporting readiness, with Workday Assist used as part of the case handling and user assistance model.
The Workday HCM deployment was integrated operationally with Zendesk as the primary intake channel for HR queries, enabling the People Services team to manage cases, escalate to HRBPs and Centres of Expertise, and record interactions for reporting. The program included development of a knowledge base and case management technology, and provisions to support rollouts of additional Workday modules as directed by the People Services leadership.
Governance focused on documented People Services processes, service level agreements and adherence to policy and employment legislation, with responsibilities apportioned between the Regional People Services team, HRBPs and Centres of Expertise. Process documentation, SLA definitions and case management standards were established to drive consistent administration and accurate employee data capture in Workday HCM.

| Cegid | Legacy | Cegid mPOS | Point Of Sale | ERP Services and Operations | n/a | 2020 | 2020 |
In 2020, Aesop implemented Cegid mPOS as its Point Of Sale to support store-level retail transactions and local retail operations across its ANZ footprint. The deployment centered on retail checkout workflows and local store operations, with operational scope explicitly covering Aesop Head Office in Melbourne and the broader ANZ retail estate.
The Cegid mPOS implementation supported standard Point Of Sale capabilities typical for retail environments, including in-store transaction processing, product lookup and pricing, receipt generation, and connectivity to store peripherals such as printers and payment terminals. Configuration work emphasized store-level availability and point-of-sale usability to align with merchandising and retail store processes, while the service desk model provided frontline incident and request handling for point-of-sale interruptions.
Operational coverage and systems support were managed alongside broader technology services, with the ANZ Service Desk responsible for deployment, monitoring, maintenance, development, upgrades and support of Cegid mPOS and associated store systems. The environment for support included Office 365, Exchange, Active Directory, networking and systems infrastructure, Microsoft Office, Adobe Creative Suite, Jira and NetSuite as the wider application and infrastructure landscape that the service function maintained. Asset management for IT hardware, software, equipment and telco services was enforced to underpin ongoing store operations.
Governance and process responsibilities were exercised through Aesop’s Technology Support Framework and Global Support Framework, with the Service Desk Team Leader role charged with recruitment, team development, service level adherence and improvement of support documentation and administration. Local vendor and outsourcer contract negotiation and administration were part of operational duties, and global administration of delegated systems was used to underpin store rollout and ongoing operations while ensuring consistent support workflows and escalation paths for Point Of Sale issues.
