In 2016, Afea Care Services implemented MYOB Exo as its ERP Financial application and operationalized the system to support core payroll and finance workflows. The MYOB Exo deployment was used to process fortnightly timesheets for 400 to 500 employees and to centralize payroll, invoicing, and accounts payable functions across the finance and people operations teams.
MYOB Exo was configured to run end to end payroll processing for casual, part time, and full time staff, including calculation of working hours, allowances, overtime, leave accruals, and employee termination payments. Functional modules and capabilities implemented included payroll processing, leave management, superannuation reporting, workers compensation processing and reconciliations, client invoicing, cost centre allocation, and the generation of payroll and finance reports for managerial review.
The deployment integrated with Afea’s inhouse rostering and HRIS systems through CSV based imports and mobile timesheet feeds to import payroll data, and it supported operational workflows that included claiming client invoices via the NDIS claiming portal. Accounts payable workflows were executed within MYOB Exo through supplier invoice entry and scheduled supplier payments, cross checking of payments and expenses, and allocation to cost centres in accordance with company approval policies.
Governance and process changes accompanied the implementation, with the finance team developing and documenting payroll procedures, distributing payslips and reports, and providing day to day guidance to junior payroll staff and P and C stakeholders on payroll matters. Staff involvement extended to assisting the finance manager with subsequent ERP rollouts in 2017 and 2018, indicating continued operational ownership and iterative process refinement after the 2016 MYOB Exo implementation.
